How does Ready BMS work
Ready Business Management Systems follows a process
with a proven track record in order to provide the most effective implementation possible.
A combination of Microsoft Dynamics Sure Step Methodology and Ready BMS best practices are used to create the various documents and activities that form the Ready BMS implementation process. The process is a performed by Ready BMS staff with the help of one or more internal “Champions” from the client organization. This collaboration facilitates communication and creates a mutual understanding throughout the process.
1. Discovery
In order to appropriately create a viable plan, the Ready BMS team must first perform a series of research activities. These activities will help us discover the organization’s requirements, pain points and general needs. Gathering this information early is crucial to the long-term success of the project. Each company requires different types and levels of investigation however; these are examples of some of the information sought in the Discovery:
- Existing System/Process Documentation
- Mapping of Undocumented Systems/Processes
- Current Systems Examination
- Internal and External Reporting Requirements
- Training/Support Requirements
- Client Interactions
- Internal User Roles & Responsibilities
- Current Data Situation
The outcome of this step is a Ready Business Management Systems Vision Document. After collaboration and revision with the customer, the Vision Document gives a high/mid-level view of the status quo as well as the proposed solution. It is a roadmap that will help keep the project in scope, on budget and on time while providing the required solution for the business.
2. Planning
After the Discovery Step has been completed and a high level plan has been designed, it is important that the client understands exactly what their hard earned money is going to be spent on. A Statement of Work document is prepared in collaboration with the client and describes project specifics such as customizations, timelines, deliverables, pricing, etc. This document ensures that there is a mutual understanding as to what will be delivered as part of the implementation as well as how the implementation will roll out. It also serves as a guide to ensure that all aspects of the implementation are completed with accuracy.
Furthermore, this step is a stage for the client to collaborate with the Ready BMS team for any internal project management they wish to perform. Depending on the size of the project, Ready BMS will implement project management tools to keep the project on track and to make sure all issues are addressed.
3. Development
With the system’s requirements defined and the project well organized, the Ready Business Management Systems team begins development on the client’s customized system. Depending on the complexity and scope of the implementation, the following customizations may be performed:
- System Configuration (Fields, Forms, Views, Entities, User Roles)
- Outputs (Reports, Templates)
- Process Automation (Workflows, Dialogs)
- Integrations (External Software, Web Applications and Portals, Email)
The scope and schedule of the project may require the development to be broken into two or more phases to ensure that all requirements are addressed and their solutions captured in the system. Regardless of the number of phases, this step is done in collaboration with the client in order for every detail to be as it should.
4. Implementation
Once Development of the system and its components is complete (and tested by the Ready BMS Team), several events take place as part of the Implementation Step. Firstly, The Ready BMS Team uploads all the final customizations for all parts of the system. Now that the system is up and running as planned, the client may perform testing of their own in conjunction with Ready BMS. Anything that is identified in the testing as not meeting its requirement is addressed and retested until the client is satisfied with the system and accepts.
Next, a final import of the company’s data takes place. Data may come from different areas and must be checked for integrity before migration to the new system. With the data properly imported, the system is ready to go live.
The final part of the Implementation step is training. Based on the previously-agreed upon training method, Ready BMS will provide custom training sessions and materials in order to strengthen user adoption and increase system success.
5. Support
Ready Business Management Systems offers flexible support arrangements. Every client has varying support needs based on their users and system complexity. Periodic training sessions, on-demand support and additional documentation are just some of the methods that Ready BMS can ensure that users always have the support they require.
After the Implementation, new requirements may arise, old ones may no longer be needed and some may change. Ready BMS can perform additional enhancements in order to keep the system parallel with the business as well as offer software upgrade support when a new version is released and makes sense for the client.
